Excel to PDF

Turn an XLSX, XLS, ODS or CSV sheet into a clean PDF table with a repeated header row, gridlines, alternate row shading, page numbers and font scaling that fits every column on the page.

Overview

Converts a spreadsheet into a tidy PDF table. It reads XLSX, XLS, ODS and CSV files, lets you pick a sheet or include them all, and lays rows out across as many pages as needed with the header row repeated on each one. Font size shrinks automatically so every column fits the page width. The PDF is built in your browser with pdf-lib.

How It Works

Drop a spreadsheet of up to 30 MB and pick a sheet from the list, which shows each sheet's row and column count. Choose the paper size, portrait or landscape, and a starting font size between 6 and 14 pt. Options turn on header repetition, gridlines, alternate row shading and page numbers. A preview grid shows the cells that will be printed, and Download PDF saves a file named after the workbook.

Step-by-Step Usage Guide

  1. Drop the XLSX, XLS, ODS or CSV file.
  2. Pick the sheet, or tick Include every sheet.
  3. Choose paper size, orientation and font size.
  4. Set header repetition, gridlines, shading and page numbers.
  5. Click Download PDF and check the result note.

Technical Specifications & Standards

Cells are read with SheetJS as formatted text, so dates, currencies and percentages appear the way the spreadsheet displays them rather than as raw serial numbers; formulas print their last calculated value. Trailing empty rows and columns are trimmed. The layout measures the widest text in every column with the Helvetica font metrics, caps any single column at 45 percent of the usable width, and if the table is still too wide it lowers the font size, down to 5 pt, until it fits. Spare width is shared between columns so the table spans the page. Rows are paginated to fill each page, the first row is redrawn at the top of every page when header repetition is on, numbers are right-aligned, and text too long for its column is shortened with an ellipsis. The standard PDF font covers Latin characters only, so other scripts are replaced with a question mark and the result note says how many. Charts, images and cell colours are not included.

Targeted Use Cases

  • Sending a price list or inventory sheet to someone without Excel.
  • Printing a wide spreadsheet that never fits on paper from Excel itself.
  • Archiving monthly reports as PDF with page numbers and a repeated header.
  • Turning a CSV export from another system into a readable document.

Notes & Gotchas

  • Use landscape for sheets with many columns, so the font does not have to shrink as far.
  • Delete helper columns in the spreadsheet first, since every non-empty column is printed.
  • Keep header repetition on for long tables so every printed page is readable on its own.

Frequently Asked Questions

How do I fit all columns on one PDF page width?

The tool does this automatically by shrinking the font until every column fits. Switching to landscape or a larger paper size such as A3 keeps the text bigger.

Are formulas included in the PDF?

The PDF shows each cell's displayed value, the result of the formula, exactly as the spreadsheet shows it. The formulas themselves are not printed.

Why do some characters appear as question marks?

The built-in PDF font supports Latin characters only. Characters from other scripts, such as Chinese or Arabic, are replaced with a question mark, and the result note shows how many were replaced.

Can I convert every sheet of a workbook at once?

Yes. Tick Include every sheet and each sheet is laid out in turn, then all of them are joined into a single PDF.
